These Update History pages chronicle the changes made to Titanium Schedule version 9 by past incremental updates. Updates are listed in reverse chronological order. Successively older updates can be seen by reviewing earlier pages (see bottom of page).

Added a new feature to find open appointments slots. The feature is accessible from the new Find Open button on the Schedule screen toolbar. It is also on the Navigate menu and has the Hotkey Ctrl+O.

This feature lets you search for openings in schedules based on criteria like the counselor, or counselor group, and by the underlying placeholder or group of placeholders. This will be of particular use for larger centers and centers with very full schedules. For example, if you used placeholders to reserve time for Intakes on various counselor schedules, then you could easily search for all open Intakes slots of a particular length (e.g. 30 minutes) for a specific group of counselors. If you used very long placeholders (e.g. from 1PM to 5 PM), the search routine will automatically split the placeholder into appointment sized lengths and display open appointments at 1:00, 1:30, 2:00, 2:30, 3:00, 3:30, 4:00, and 4:30 PM.

There is a new system configuration option on the Appointments tab called Appointment Code Groups. This will let you create groups of appointment types just like you could create groups of counselors. These groups are currently supported in the new Find Open Appointment feature. In the future, they will be used in place of the Appointment Code search strings in all reports.

Replaced the Client Concerns screen and report with a much more flexible Client Assessment screen and reports. This new screen allows you to enter Reasons For Visit, Client Reported Concerns, Counselor Reported Assessment, and if you purchase the DSM-IV license, you can enter DSM-IV multiaxial evaluations. Some of these categories include a priority setting for Primary/Other, and the DSM Axis V contains the GAF score. There are new reports, including a score comparison report that will let you compare intake, follow-up and termination scores.

The schedule viewer screen has been modified so that the scroll buttons for time are now only above the time display along the left side of the screen. Previously, they were on each column which caused some confusion and took up considerable space. The old scroll buttons would turn red if a counselor had appointments outside of the current display time range. Now, small black arrow(s) on a yellow background will appear on the column header to the right of the counselors name to indicate appointments outside the current viewing time.

Updated the Appointment History and Find Client Appointment screens to only show counselor and appointment descriptions instead of the cryptic codes as they did previously.

Added a login audit trail.

Added a Counselor Activity Report which tracks all counselor appointment activity including individual, groups and couples, and other appointments. This supplements the Counselor Case Load and Client Contacts by Counselor reports that only showed individual client appointments.

Added drag-and-drop to the schedule viewer interface. You can move appointments by dragging and dropping them. You can also copy appointments by either pressing the CTRL key while dragging and dropping. A right click and drag and drop will bring up a menu asking if you want to copy or move the appointment.

You can change the length of an appointment by click and dragging the bottom border of the appointment. The mouse cursor will change to a double arrow when you correcly position it to change the length this way.

Most of the 9/3/03 change apply to the Schedule Viewer interface. In particular, an effort was made to replace the appointment and counselor codes with the full text descriptions of those codes because many users found them cryptic. It also reduces the training time for new users.

Suggestion:
Setting the number of columns to 6 is a good choice. That will let you see a useful amount of information in the appointment blocks along with giving you a week-and-a-day view while in single counselor view mode. (Assuming weekends have been turned off.)

New Features:
There is a new automatic logout feature. You can set this feature on the System Configuration screen on the Miscellaneous tab.

The counselor names/descriptions are shown in the Schedule Viewer column header instead of just the counselor code.

By default, the appointment description is shown in the appointment block instead of just the appointment code. There are configuration setting to let you display just the appointment code if you prefer.

The counselor and appointment code drop-down lists throughout the system now display just the description by default. There are configuration settings to let you display just the codes if you prefer.

There are configuration settings for the font size of the column header text and the appointment cell text.

Some old Schedule Viewer layout configuration options have been removed because they have been replaced with new features and configuration items.

By default, weekends are skipped. There is a configuration item to turn them back on if you want. There is also a menu option on the View menu to temporarily turn weekends on and off. This makes better use of screen space, especially when displaying a single counselors schedule for multiple days.

The schedule background color can now be set for weekends and Mondays to make it easier to identify them, especially when working in the single counselor multiple day mode. By default, weekends are medium blue and Mondays are light green.

There are optional icons in the appointment blocks. The first icon indicates the type of appointment (Individual, Group, or Other). That icon will have an additional colored letter like a Green R if it is a recurring appointment, or a "Yellow P" if it is a placeholder, or a Cyan D if it is a Recurring Series Definition.

The second icon is the note indicator. It replaces the "*" in the old system. It will be gray if there are no notes. It will be white if there is a note. In addition, for Individual appointments, there will be a "Yellow A" if there is a note attached to the appointment or a Yellow C if there is a note attached to the client record.

The third icon only applies to Individual and Group appointments. It replaces the old SHOW code. It is gray until attendance is taken. It is green if the appointment took place (SHOW) or red if the appointment did not occur. (NO SHOW, CANCELED).

The SHOW codes have been updated slightly. There is no longer an OPEN or FILLED setting. There is instead a SCHEDULED setting. The rest of the codes stay the same for Individual appointments. For Group appointments there are only three settings: SCHEDULED, ATTENDANCE TAKEN, and CANCELED. For Other appointment types, there is only SCHEDULED, ATTENDED, and CANCELED. There are no longer any SHOW codes for placeholders.

Reports:
There is a new report titled Appointments Missing Attendance that will list all the appointments for a specified date range that have the Attendance set to SCHEDULED. Normally, after the appointment happens, this should have been changed to SHOW, NO SHOW, CANCEL, ATTENDED, etc. This report will make it easier to find the appointments that need their attendance to be updated.

Problems Fixed:
The size of the appointment length field has been increased to four digits.

Fixed a problem where the Find Appointments for a Client screen would fail to find an appointment for a client if there was only one appointment for that client. It worked fine if there was more than one appointment.

The Counselor Schedule reports did not correctly indicate canceled appointments. They now put the word CANCELED in front of canceled appointment descriptions and do not display continuation indicators for canceled appointments.

Added a new security level called TRAINEE. It is similar to the COUNSELOR level with one difference. TRAINEE level users can only view progress notes for appointments where they were a counselor. The COUNSELOR account can view all progress notes.

Fixed a problem in the Counselor Group List Reorder screen that would lose the current order of counselors every time you entered the Reorder screen.

Fixed an error message that occurred when the number of screen columns was equally divisible into the number of schedules in the screen group.

Fixed a problem related to saving user settings with some security levels. An error message would occur if a user changed their user configuration from the system default values, saved those changes, and then changed them back to the system default.

Fixed a problem related to a SYSTEM level user individual configuration settings being accidentally copied as system configuration settings.

Fixed a problem which resulted in a connection busy error when a user changed some values in the the User Configuration screen, Schedule Viewer Layout tab, and then selected the Apply button.

Fixed a problem on the Configuration screens, Schedule Viewer Layout tab. The Calculate Font Size and Refresh Interval checkboxes could not be changed.

Fixed a problem with the Appointment Code Maintenance screen where the appointment code column should have been read-only and was not, therefore, users could change the codes instead of using the Reassign feature which is the correct approach.

Increased the size of the First Name field to 20 characters as requested by a user to hold long hyphenated first names.

Fixed a problem in the Find Client dialog that would cause an error message if a name was entered that was longer than the field length.

Added 10 user-definable fields to the Appointment screens. (There were already 12 user-definable fields for the Client screen.) These fields are defined on the System Configuration screen, Appointments tab. On all the Appointment screens, there is a new tabbed page where all the old appointment information is on the first tab titled "Standard Information" and any user-defined fields will be on the Additional Information tab.

Added a new option to the Appointment Statistics report to allow statistics to be run on these new fields. There is a check box near the bottom of the screen for Appointment Additional Information which will give you a statistics breakdown for those user-defined fields.

There is a new report titled Client Contacts by Counselor.

There is new option to let you manually specify Intakes/First Time Appointments instead of letting the system do it for you automatically. This will give you better control on what you consider an intake. For some centers, an intake can be the first time they ever see a client, for others, it is the first time that school year or that semester. This setting is on the System Configuration screen, Appointments tab and is called Automatically set first time appointment flag. If this is unchecked, then there will be an Intake checkbox on the Individual Appointment screens where you can manually identify intake appointments.

Added a new Schedule report that prints multiple schedules per page, instead of each schedule on a different page.

Added a find by File Number to the client find dialog.

Fixed a problem that resulted in an error message if you opened a particular appointment screen before there were any appointment types defined for that type of appointment.

Fixed a problem that resulted in a error message if you opened the Group Registration screen before you had defined any group appointment codes.
